assistant position is responsible for a variety of high-level
project and administrative duties in support of the President of
Private Wealth. Responsibilities are technical, complex,
professional, and confidential in nature requiring a high degree of
initiative and independence. The role requires an individual who is
detail oriented, skilled in planning and organizing, has a sense of
urgency and able to prioritize, ability to manage multiple projects
and tasks, ability to problem solve and bring resolution while
maintaining confidentiality. This role also serves as a key player
on carrying out Private Wealth initiatives, involving senior
leaders across the business line and company.This person will,
- Lead small to medium complex projects from beginning to end,
which would include breaking down the tasks, setting goals and
timelines, assessing resources needed, identifying potential issues
and maintaining a project plan to reach the end goal on time.
Anticipate questions relating to project work and have background
and logistical information available as needed.
- Provide administrative and planning support, including but not
limited to processing mail, receiving and screening phone calls,
inbox management, event planning and tracking event attendees,
scheduling conference rooms and meeting coordination, travel and
accommodation arrangements, submitting expense reports, appointment
scheduling, ensuring office equipment is properly maintained,
assisting with new colleague set-up, invoice processing or other
clerical/administrative projects.
- Drive deadlines and deliverables while adapting to ambiguity
and changing business needs, priorities, or expectations.
- Interact daily with executives, senior leaders and colleagues
at all levels to collaborate, plan and prioritize work to
accomplish Private Wealth objectives. Establish strong experience
in building alliance partnerships and mass affluent progression to
Private Wealth
- Assist the President of Private Wealth in preparing for
Executive Leadership Team meetings, Private Wealth town hall and
senior leader meetings, one on ones meetings, and other
meetings.
- Lead and facilitate field leadership sessions on process,
engagement, and strategic initiatives, planning for and executing
appropriate change management activities.
- Develop, prepare and coordinate content, data and materials for
business line presentations to ensure accuracy of data and timely
distribution, including those to the Board of Directors and
Risk/Governance Committees.
- Manage the calendar of the President of Private Wealth.
Determine the urgency of requests and prioritize accordingly to
complete tasks in a timely manner. Manage long-term view of
calendars strategically by collaborating with key partners and
understanding priorities.
- Support the Private Wealth Leadership Team and other senior
managers, as requested, including back-up support and assistance to
other Executive Assistants.
- Identify process improvement opportunities proactively and
recommend solutions to promote operational efficiencies. Serve as
subject matter expert on Private Wealth initiatives that drive
performance excellence.RequirementsEducation
- Bachelor's Degree in Business, Project Management or related
field or equivalent combination of education and
experienceExperience
- 5- 6 years of experience as a Executive Assistant, Personal
Assistant, or similar role in Wealth Management Required
- 5-6 years of advanced knowledge of MS Office (including
Outlook, Word, Excel, PowerPoint, OneNote, Teams), Salesforce, and
the ability to learn other programs Required
- 5-6 years of excellent organizational skills with attention to
detail and the ability to handle concurrent tasks and constant
interruptions. Effective project management and administration
skills Required
- 5-6 years of experience in a role that requires a high degree
of flexibility with the ability to independently interpret policies
and solve non-routine, complex issues under minimal supervision
Required
- 3-5 years of agility and/or process improvement experience
Preferred
- 3-5 years of working knowledge of Wealth Management technology
